Trades get quoted over text, not contact forms.

Customers ask for quotes by text and WhatsApp, and expect an answer within the hour. Here is where those requests get lost, and the saved replies that keep them moving.

A contact form waits for someone to check the inbox. A text lands on the phone in your pocket. For most plumbing, electrical, HVAC and general contracting shops, the quote request that turns into a job starts as a text or a WhatsApp message, often sent after a missed call.

Customers expect an answer within the hour.

Jobber's 2026 Home Service Trends Report surveyed 1,050 U.S. home service business owners in December 2025. It reports that more than 55% of customers expect a reply within the hour and 28% expect one right away. 60% of the businesses reply the same day. Only 20% reply within the hour.

That is a vendor survey, so read it as direction, not a benchmark. The direction is clear: most shops answer the same day, most customers want an answer much sooner, and the gap is one short message wide.

WhatsApp is where Spanish-speaking customers already are.

Pew Research Center surveyed 5,022 U.S. adults in 2025. 21% of all adults said they use WhatsApp. Among Hispanic adults it was 56%, the highest of any racial or ethnic group in the survey.

In Southern California that gap matters. Census QuickFacts puts San Diego County at 35.7% Hispanic or Latino. If a customer texts you on WhatsApp in Spanish, answer there, in Spanish.

Four moments a quote request gets lost.

  • The missed call. You're under a sink or it's nine at night. The customer calls the next number on the list.
  • The text during another job. You read it, mean to answer, and it sinks under twenty other messages.
  • The request you can't price. "How much to fix my AC?" has no answer without seeing the unit, so it gets no reply at all.
  • The quote that went quiet. You sent a price and heard nothing. In ServiceTitan's 2025 contractor survey, 47% of contractors doing $10M or more said following up on unsold estimates brings in 11 to 15% of their income.

The first three need the same thing: a fast reply that says you got the message and asks for the address and one useful photo. The fourth needs one short check-in three to five days later. The estimate follow-up guide covers that routine in full.

What a good first reply looks like.

Here is a missed call on a Tuesday night, answered with a saved reply. The shop and the customer are made up. The saved reply is exactly what the tool gives a plumber.

The saved reply did four things in one tap. It told the customer someone had the message. It asked for the address and the photo that answers the first question. It gave one safety step for the night. And it was signed, so the customer knew who would call back.

The next-morning message is the one you write yourself. By then you have seen the problem, so it can be specific.

Ask for the photo that answers your first question.

A photo tells you the size of the job before you drive out. Ask for the one that matters for your trade:

  • Plumbing: the problem area and the nearest shutoff valve.
  • Electrical: the problem area and the panel with the door open.
  • HVAC: the unit and the sticker with the model number.
  • General: the area, one from far away and one up close.

For urgent trades, add one safety line: shut off the water, turn off the breaker, or leave the house if they smell gas. It helps the customer, and it shows you know the work.

Save it once, send it in one tap.

WhatsApp Business, the free business version of the app, has quick replies. Open Tools, then Quick replies, paste your message and give it a shortcut. In any chat, type / and pick the reply.

  1. Open the quote reply tool, pick your trade and add your name.
  2. Copy the missed-call reply, the on-a-job reply, the photo request and the follow-up.
  3. Save each one as a quick reply, in English and in Spanish.

If you use regular text messages, the same replies work there. Save them as text shortcuts in your phone's keyboard settings.

It is the request most likely to go to someone else. Save that reply today and use it for two weeks before adding the others. Then get the rest of the replies.
