Three rules that keep AI honest

Among small businesses already using AI, the top problem is accuracy (46%). These three habits fix most of it.

1. Sort every fact into confirmed, needs checking, or missing.

Every instruction in this guide asks the AI to mark anything you did not confirm in [brackets] and list it under the draft. A good draft with a wrong price is worse than no draft.

2. A draft is not sent.

The AI writes. You check it, then you send it through your usual text, email or job software. Nothing in this guide sends anything on its own.

3. Fix one thing. Do not start over.

When a draft is mostly right, correct the one fact and ask to see the whole draft again.

One fact is wrong: [what is wrong] should be [the right fact]. Fix only that, show me the whole revised draft, and tell me what else changed.

Where to save it

ChatGPT
Create a Project and paste it into the project instructions, or add it under Settings > Personalization > Custom instructions.
Claude
Create a Project and paste it into the project instructions.
Gemini
Open Gem manager, create a Gem, and paste it into its instructions. Gems are free to build.
Copilot
Paste it at the start of the chat, or keep it in a note to paste in.

Leave out anything private you would not put on a flyer: bank details, passwords, customer lists.

Capture it from the truck

Talk instead of typing.

Every one of these apps has a microphone button. Tap it and say the job the way you would tell the office: who, what you did, what is still open. The AI cleans it up.

Take a photo of a handwritten ticket, whiteboard or part label and attach it with this instruction:

Use what you already pay for

You will get called away mid-task. Before you close the chat, ask for a save point and paste it back next time.

What these numbers do not prove

  • Survey percentages are what owners picked, not hours measured.
  • Owners who use AI report more confidence, but that does not prove AI caused it.
  • The examples here are fictional plumbing jobs. Your trade, city and customers will differ.
